Club Policies

Waivers & Disclosures

All participants, including minors, non-members/guests, must sign up for an account on CourtReserve and agree to the PARTICIPATION AGREEMENT, ASSUMPTION OF RISK, RELEASE, PERMISSION, AND INDEMNIFICATION waiver. It is important for participants to read & agree to the disclosures and policies every time before finalizing a reservation.

Membership Refund Policy

No refunds shall be provided after 48 hours, or once the Member reserves and plays, whichever occurs first. Please email info@pickleb4ll.com the request to cancel your membership. We will not take phone requests. Please allow a few days for us to process your requests.

Reservations

Court availability and Rack&Play will be available for reservation 10 days out for annual members, 7 days for quarterly members, and 24 hours for non-members. Private or semi-Private lessons may be booked at any time based on coach’s availability.

All reservations must be made by members, non-members, and coaches on the CourtReserve App.

On the CourtReserve app, Members and Non-members may select play-time in advance depending on their level of membership. When reserving a court, all other players must be added at the time of reservation.

Members may pay for their spot in court reservations or OpenPlay with their FlexPoints balance or choose to pay with their saved credit card. Members will need to pay for their guests with their credit card on file. FlexPoints can only be used for member’s personal reservation.

Non-members must pay for their spot on a court reservation with a credit card.
Reservation owners please make sure everyone on the reservation pays for their split. If any non-members are on the reservation and don’t pay, the reservation owner will be charged for their guests on the credit card on file. The person reserving the court must pay within 15 minutes after making the reservation. Unpaid reservations will automatically be canceled.

Guests

Members are allowed to add 3 guests to their court reservations. Members will be charged the non-member price for their guests. All guests must sign up for a non-member/guest account and sign waivers prior to arrival, regardless of who is paying. Please remind your guests before arriving.

Minors 5-17 who are non-members can be added as a guest for court reservations but must pay the non-member price. A Parent or guardian of the minor must add their non-member child to CourtReserve and must accompany the minor in the club at all times (see age restrictions).

Currently 3 guests are allowed for Rack&Play. Non-members/Guests can sign up for an available spot 24 hours before the scheduled play.

Cancellation Policy

Rack & Play: An account credit or FlexPoints will be issued for cancellations made 3 hours before the R&P start time. Anytime after 3 hours, no refund will be provided. R&P that is canceled due to low numbers will be refunded in the original form of payment.
CourtReserve automatically registers individuals on the waitlist if a spot becomes available up to the time of the event. Registrants are responsible for removing themselves from the waitlist; otherwise, if they are admitted after the three-hour cancellation policy, no refund will be issued.

Private Court Reservations: An account credit will be issued for cancellations made 12 hours before the reservation start time. Anytime after 12 hours, no refund will be provided.

Private Lessons: An account credit will be issued for cancellations made 12 hours before the reservation start time. Anytime after 12 hours, no refund will be provided.

Group Classes: An account credit will be issued for cancellations made 12 hours before the Group Class start time. Anytime after 12 hours, no refund will be provided. Group Classes that is canceled due to low numbers will be refunded in the original form of payment.
CourtReserve automatically registers individuals on the waitlist if a spot becomes available up to the time of the event. Registrants are responsible for removing themselves from the waitlist; otherwise, if they are admitted after the twelve-hour cancellation policy, no refund will be issued.

Leagues: Payments made for any League will be refunded in the original form of payment if withdrawn 10 days prior to the League. Anytime after 10 days, an account credit will be issued. Leagues that are canceled due to low numbers will be refunded in the original form of payment.

Special Events: Deposits made for any event will be refunded in the original form of payment if cancelled 10 days prior to the event. After 10 days, no refund will be provided.

Medical exceptions may be considered on a case-by-case basis. Refunds will be issued in the form of an account credit.

Reservation Restrictions (P4A reserves the right to make changes at anytime)

Private Court Reservations: 360 minutes per player/week
Rack&Play: No Restrictions but may need to impose restrictions based on demand.

Substitutes

For private court reservations, if you are unable to play for any reason, you are able to sub yourself out for another player  on the CourtReserve app at any time before playing. If you sub out 24 hours before your scheduled reservation, you will automatically receive a refund or credit. If you sub someone after the 24 hour cancellation time, your refund may take a few days to process. Your sub will be responsible for payment before they are allowed to play.

Check-in

Each player must check-in at the front desk upon arrival. Members and Non-members with a CourtReserve account may scan their barcode found at the top right corner of your CourtReserve Mobile App. Guests without an account must check in with the front desk receptionist, sign up for a non-member account and sign the online waiver and non-member agreement.  

Photo

Each member is required to take a photo the first time they check-in. This photo will be assigned to your profile for the front desk to verify your identity at check-in. We will not share this profile photo outside of CourtReserve without your prior consent.

Age Restrictions


Memberships are open to anyone 12 years or older.
Members between the ages of 12 and 17 must have a parent or guardian sign them up. Parents or guardians must sign the membership agreement and a legal waiver allowing the minor to use the club with their permission. Members ages 12 – 17 must be accompanied in the club by a parent or guardian unless they are registered for a lesson, camp, or class.

Juniors ages 5-17 are allowed in the club only when playing on a court with a parent or guardian or taking a lesson, class or in camp. P4A does not provide child care services. Non-member Juniors on court with parents or taking lessons must be signed up as a non-member/guest on CourtReserve.

  • Minors/children are not allowed to be left unattended.
  • Minors/children under 12 must be accompanied by a parent or guardian on court and around the club at all times unless they are in the care of a coach.
  • Minors/children over 12 must have a parent or guardian present in the club.

***CAMP policy: Parent or Guardian come into the club to check out their kids. We will not allow kids to leave the facility without the parent or guardian. ***

Attire & Footwear

Everyone must wear appropriate attire. ***you must wear a top and bottom***
Due to the special playing surface, players must wear non-marking appropriate sneakers when on court. Court shoes are highly encouraged. Flip-flops, sandals, open-toe shoes, and street shoes are restricted.

Coaching

(Coaching is when one person of higher skill is instructing a player or feeding balls, even if they are offering it at no charge.)

  • Coaching on Pickleball4All courts is only allowed if it is one family member to another, i.e. a parent coaching their minor child.
  • ONLY approved coaches who are under contract may coach at Pickleball4ALL and must book through CourtReserve. Paying coaches directly is prohibited.
  • Members may NOT coach or bring an outside instructor and in reverse do not solicit P4A coaches to coach you outside of the facility.

P4A Demo Paddle Rental Policy

  • Usage Restrictions: Rented paddles are to be used exclusively at Pickleball4ALL and must not be removed from the facility.
  • Rental Fee Credit: The rental fee paid for demo paddles will be credited toward the purchase of a new paddle.
  • Damage Responsibility: Paddles will be inspected for damages prior to and after each rental session. Customers are responsible for any damage incurred during the demo rental. If a paddle is severely damaged and becomes unusable, the customer must purchase it at the Manufacturer’s Advertised Price (MAP), minus any accumulated rental fees.

WAITLIST POLICY FOR RACK & PLAY (OPEN PLAY)

  • Individuals on the waitlist will be automatically added to the registry when additional courts become available or if a registrant drops out.
  • It is the responsibility of individuals on the waitlist to remove themselves before being added to the registry. Failure to do so will result in their credit card on file being charged the full amount, and this charge will not be refunded.

PETS

No pets. Only certified service dogs are allowed.

Firearms & weapons

Firearms & weapons are prohibited in the club at all times.

Speakers

No personal speakers allowed.

Photography & video

No photography or video recording without the consent of others.

Solicitation

Non-employees may not solicit employees or distribute literature of any kind on P4A premises at any time

Code of Conduct:

1. Respect and Inclusivity:

  • Treat all players, staff, and visitors with respect and kindness.
  • Embrace diversity and create an inclusive environment for players of all backgrounds, abilities, and skill levels.

2. Sportsmanship:

  •   Play fair and abide by the rules of the game set forth by Pickleball4ALL.
  •   Display good sportsmanship at all times, win or lose.
  •   Avoid any form of cheating, aggression, or unsportsmanlike behavior.

3. Safety:

  • Prioritize the safety of all participants and follow safety guidelines set forth by Pickleball4ALL.
  • Report any hazards or concerns to the club team member immediately.
  • Use appropriate equipment, non-marking shoes, and follow proper warm-up routines.

4. Communication:

  • Communicate politely and respectfully with other Pickleball4ALL members, team members, and visitors.
  • Resolve conflicts or disagreements in a calm and constructive manner.
  • Avoid using offensive or disrespectful language.

5. Facility Rules:

  • Follow all club policies and regulations.
  • Respect the equipment and facilities provided.
  • Report any maintenance issues to a club team member.

6. Privacy:

  • Respect the privacy of others and avoid sharing personal information without consent.
  • Obtain permission before taking photos or videos of others.

7. Alcohol and Substance Use:

  • Adhere to any alcohol or substance use policies set by Pickleball4ALL.
  • Avoid playing under the influence of alcohol or drugs.
